Case management pricing, checked against SmartAdvocate's own site

SmartAdvocate Pricing and SmartAdvocate Cost Per User With SmartIntelligence AI

SmartAdvocate prints no price. Its site says pricing is based on your firm's needs and points you to a demo. Here is what listings report per user, what setup adds, what a firm of 5 to 25 people would pay in a year, and a published flat price if the part you need is AI that reads the case file.

SmartAdvocate figures are labeled with their source. CaseClerk prices are the ones on our pricing page.

How much does SmartAdvocate cost?

SmartAdvocate does not publish its pricing. Its site says pricing is based on your firm's needs and sends you to a demo or a phone call. Capterra and Software Advice list a starting price of $109 per user per month, ITQlick reports $120 to $150, and implementation is reported at $2,000 to $10,000 and up.

For a ten user personal injury firm that works out to roughly $13,000 to $18,000 a year in licenses before setup. If what you want is AI that reads medical records and answers with the page cited, CaseClerk does that at a published $99, $249, $499 or $998 a month, next to whatever case management you run.

What sets a SmartAdvocate quote

Seats by role
Listings describe SmartAdvocate as priced per user. Intake staff, case managers, paralegals and attorneys all work in it, so a PI firm's seat count runs well above its lawyer count.
Cloud or server
SmartAdvocate sells a hosted Cloud edition and a Server edition where you own the software and run it on your own server. The two are priced differently, and neither price is printed.
Data conversion
Moving cases, documents and notes out of Needles, TrialWorks or another system is quoted per firm. For an established practice it is usually the largest setup line.
SmartIntelligence AI
SmartAdvocate lists AI features such as case chat, medical chronologies and demand letters. Its site does not say whether they are inside the seat price, so ask.
Integrations
The site counts more than 175 integrations and partners. Texting, e-signature, record retrieval and demand services are billed by those vendors, on top of your seats.
Training
Training runs from an online learning system and weekly webinars to full custom sessions at your office. Ask which of those your quote includes.

How to turn a SmartAdvocate quote into a number you can compare

  1. 1

    Count seats by role

List everyone who touches a case each week, from intake to settlement. Ask whether read only or part time users need a full seat.

  2. 2

    Ask for both editions

Get the Cloud price and the Server price side by side, with hosting, backups and upgrades spelled out for each.

  3. 3

    Get setup in writing

Data conversion, document migration, training days and custom reports as fixed fees, with the timeline attached.

  4. 4

    Price the AI separately

Ask what SmartIntelligence costs, whether usage is capped, and which features are live today. Then test the reading job on a real file.

SmartAdvocate, Filevine, CasePeer and CaseClerk compared by job and price

SmartAdvocate, Filevine and CasePeer run a plaintiff practice. CaseClerk reads a case's documents and answers questions about them with the page cited. Pick by the job you are paying for.

Who should pay for SmartAdvocate, and who should not

Buy SmartAdvocate to run a PI practice

If you need intake, case status, liens, negotiations, document assembly and reporting in one system built for plaintiff work, the per user price buys exactly that.

Buy the Server edition if data must stay in house

A firm that wants its case database on hardware it controls has few choices left. SmartAdvocate still sells that, and the quote should say what you maintain.

Think again if AI is the reason

If you booked the demo for record summaries and case chat, switching case management systems is a months long project for what is mostly a reading problem.

Use CaseClerk for the reading

Upload one case's records and bills and ask about treatment dates, providers, prior injuries and gaps in care. Each answer names the page, so a paralegal checks it fast.

Why SmartAdvocate publishes no price and what listings report

SmartAdvocate's site has no pricing page. Its FAQ answers the cost question in one line, that pricing is based on your firm's needs, and gives a phone number for a Business Development Specialist and a demo form. The demo is described as no obligation. That is normal for case management sold to litigation firms, where the quote depends on seats, edition and how much data has to be converted.

Because the vendor prints nothing, software directories fill the gap, and they do not agree with each other.

ITQlick, three year total for 10 usersAbout $45,000 including implementationNo breakdown is given for the figure

The honest reading is a band of about $109 to $150 per user per month for the Cloud edition at small firm sizes, with setup on top. Treat every figure as a way to sanity check a quote. None of them is a price SmartAdvocate has confirmed.

SmartAdvocate cost per user at three firm sizes

Here is what the reported rates mean over a year. This is our arithmetic on third party figures, not a SmartAdvocate quote. The first three columns are license cost only. The last column pairs the lowest rate with ITQlick's low setup figure of $2,000 and the highest rate with its $10,000 figure.

Firm sizeAt $109 per userAt $120 per userAt $150 per userYear one with reported setup
5 users$6,540 a year$7,200 a year$9,000 a year$8,540 to $19,000
10 users$13,080 a year$14,400 a year$18,000 a year$15,080 to $28,000
25 users$32,700 a year$36,000 a year$45,000 a year$34,700 to $55,000

Two things move these numbers in practice. Seats: a ten lawyer plaintiff firm often has 25 or more people in the system once intake, case managers and paralegals are counted. And conversion: a firm with fifteen years of cases in an older system should expect the setup line to land near the top of the range or beyond it.

SmartAdvocate Cloud vs Server pricing

SmartAdvocate is one of the few PI platforms still sold both ways. The Cloud edition is hosted by SmartAdvocate, which describes it as the easier and more affordable route. With the Server edition, in the site's words, you own the software and maintain it on your own server.

The pricing shape differs even though neither is published. Hosted software is normally a recurring per user fee that includes hosting and upgrades. Owned server software normally means a larger license cost up front, then annual maintenance, plus the hardware, backups and IT time you supply yourself. Ask for a five year total on each, because a server quote that looks cheaper per month can cost more once a replacement server and outside IT support are added.

What SmartIntelligence AI includes and what it costs

SmartIntelligence is SmartAdvocate's name for the AI inside the platform. The product page lists features including an intake voice agent, document filing and classification, a data extraction engine, Enhanced Chat with Case, Medical Chronology Generation, Demand Letter Generation, a settlement value assistant and customizable agents. The page states that it is built into SmartAdvocate and is not a separate application or third party add-on. It also says more than 40 further capabilities are in development and that features release continuously.

What the page does not give is a price, a usage limit, or a list of which features are live today. So the AI questions for the sales call are specific: is SmartIntelligence in the seat price, is usage metered, and which of the listed features can we use on day one.

A published price for the reading part

CaseClerk does one job. You upload a case's documents, ask questions in plain English, and get answers that name the document and page they came from. It is priced per account, so adding a paralegal does not change the bill. Annual billing costs six months of the monthly price.

CaseClerk planPrice per monthPages included per monthA typical fit
Solo$992,500A solo or two lawyer firm reading a few record sets a month
Professional$24910,000A small PI firm with steady litigation files
Firm$49930,000A firm reading records on most open cases
Enterprise$99860,000High volume practices and mass tort intake

The trial is 25 pages across up to 5 files with no card. That is enough to load one client's ER record and billing ledger and ask the three questions you would otherwise read 200 pages to answer. For how this compares with the platforms that produce demand packages, see EvenUp pricing and the Eve Legal alternatives shortlist. For other case management quotes, see Filevine pricing and Litify pricing.

Questions to ask before you sign a SmartAdvocate contract

A quote is only comparable once these are answered in writing.

  • What is the per user price at our seat count, and is there a minimum number of users?
  • What is the contract term, and what is the renewal increase?
  • What does data conversion from our current system cost, and what will not convert?
  • Is SmartIntelligence included, and is AI usage capped or metered?
  • Which integrations do we need, and what does each vendor charge?
  • How do we get our data out if we leave, and in what format?

None of this argues against SmartAdvocate. It is a mature system used, by its own count, by more than 20,000 legal professionals. The point is that a quote only product has to be pinned down line by line before it can be compared with one that prints its price.

SmartAdvocate pricing questions PI firms ask

How much does SmartAdvocate cost?

SmartAdvocate does not publish prices; its site says pricing is based on your firm's needs. Capterra and Software Advice list a starting price of $109 per user per month, and ITQlick reports $120 to $150. Implementation is reported at $2,000 to $10,000 and up. A ten user firm should budget roughly $13,000 to $18,000 a year in licenses.

Does SmartAdvocate have a free trial?

No free trial is listed. Capterra shows no free trial and no free version, and SmartAdvocate's own site offers a no obligation demo instead. If you want to test AI on your own records before a sales call, CaseClerk gives you 25 pages across up to 5 files with no card.

Is SmartAdvocate cloud based?

It can be. SmartAdvocate is sold as a hosted Cloud edition and as a Server edition that you own and maintain on your own server. Both run in a web browser. The editions are priced differently and neither price is published, so ask for both in your quote.

Does SmartAdvocate have AI?

Yes. SmartAdvocate's AI is called SmartIntelligence and is built into the platform. Listed features include case chat, medical chronology generation, demand letter generation, document classification and data extraction, plus an EvenUp integration for demand packages. The site does not publish what the AI costs or whether usage is limited.

How much does SmartAdvocate cost per user?

Reported figures run from $109 to $150 per user per month. Capterra and Software Advice list $109 as the starting price, while ITQlick gives $120 as a starting rate and about $150 for a single user. SmartAdvocate has confirmed none of these, and your rate will depend on edition and seat count.

What is SmartAdvocate used for?

SmartAdvocate is case management software for litigation firms, used mostly by personal injury, mass tort and workers' compensation practices. It handles intake, case status, documents, calendaring, negotiations, reporting and a client portal. Its site says more than 20,000 legal professionals use it and lists more than 175 integrations.

What is a cheaper alternative to SmartAdvocate?

It depends on the job. For PI case management with a printed price, CasePeer lists $90 to $160 per user per month. If you only need AI to read medical records and case files and answer with the page cited, CaseClerk costs a flat $99 to $998 a month for the account and does not replace case management.

Read the records before you buy the platform

Upload one case's records, ask the questions the claim turns on, and check every cited page. 25 pages, no card, published prices from $99 a month.
